The front desk is the first thing every patient sees, and often the busiest place in a clinic. One receptionist may be answering the phone, registering a new patient, collecting a fee and telling three people in the waiting room that "doctor will call you soon".
When the appointment diary, the walk-in list and the doctor's queue live in different places, mistakes are almost guaranteed: double bookings, patients skipped in the queue, and follow-ups that are forgotten.
What usually goes wrong
- Two lists that never match: booked patients in a diary, walk-ins on a sheet.
- No idea of the wait time, so the waiting room gets restless.
- Duplicate patient files because someone registered under a slightly different name.
- Forgotten follow-ups: the doctor said "come back after a week", and nobody reminded the patient.
- Paperwork everywhere: notes, receipts and reports in different folders.
One flow from arrival to follow-up
EFX Connect for Hospitals & Clinics gives the reception and the doctors one shared, live view of the day.
Find or register the patient first
Reception searches by mobile number, patient ID or name before creating a new record, so the same person is not registered twice. Each patient gets a Patient ID and a profile with their visit history.
Appointments that respect the doctor's time
Each doctor's schedule, breaks and leave are set once. The system only offers free slots and refuses a booking that clashes with another one. Rescheduling keeps the history, so you can always see what was changed and when.
Walk-ins join the same queue
Booked patients and walk-ins join one live queue per doctor, with a token number. Reception can see who is waiting, who is with the doctor and who is done, and patients get a realistic idea of their turn.
The doctor's workspace
Doctors see their own queue for the day, call the next patient, review vitals recorded by the nurse or reception, and write their consultation notes and the outcome: prescription given, follow-up after a few days, investigation, referral or admission recommended.
Clinical notes are visible only to clinical roles, and every change is recorded. Reception cannot edit what the doctor wrote.
Follow-ups that actually happen
When the outcome is "come back after a week", a follow-up is created with a date. The front desk sees today's and overdue follow-ups and can call the patient, instead of hoping they remember.
Fees and receipts
Consultation fees and other charges are recorded against the visit, with the payment mode and a printable receipt. The day's collection is always clear.
Built for small clinics and growing hospitals
Start with one doctor and one receptionist, or run several departments and branches. Roles and permissions decide who can see and do what, so a receptionist, a nurse and a doctor each get the screens they need, and nothing more.
The result
A calmer front desk, a doctor who sees the right patient at the right time, and patients who feel looked after from the moment they walk in.
